Landlord and letting agency addendum

Version 0.1-draft · effective 11 Oct 2026

Extra terms for let homes: roles, tenants’ data, repairs, compliance tools, agencies and statements.

When this applies

This addendum adds to the household terms (and, for letting agencies, the organisation’s agreement with us) when you use the app for a home you let or manage.

Roles

  • Owners own the building’s records. Managers (for example a letting agent) can run the property’s tasks, trades and tenancies but can’t delete the property or manage owners.
  • Agency staff reach a property through the agency’s workspace with the role the agency gives them; removing a staff member, ending a management link or suspending the agency ends their access straight away.
  • An agency can never take ownership of a landlord’s property; a landlord can always claim a property an agency set up for them.

Tenants’ data stays theirs

The household living in a home owns its own records (its things, shopping, energy, regular help, its own documents and projects). Landlords and agents never see them, and tenants never see the building’s costs, values, landlord documents, deposit amounts or Right to Rent details. Tenants see a curated view of the building (rooms, fixtures without values, home facts, certificates and upcoming safety dates).

Repairs and approvals

Tenants can report problems; the property side triages, books trades through the usual booking flow and approves spending above the limit you set. Tenants never see costs, quotes or approvals. Response targets are reminders for you, not commitments to the tenant.

Compliance tools record and remind — they don’t certify

The compliance tools record what you tell them (dates, results, references) and remind you when things are due. They don’t check, certify or guarantee that a home meets any legal requirement, and you remain responsible for your obligations as a landlord. Government documents are linked on GOV.UK, never hosted by us.

Condition reports as evidence

Condition reports record the home’s condition with photos and the time each was taken; the tenant can review, comment and accept, and a finished report is locked. They are evidence you and the tenant agreed on, not a professional inventory, and nothing in them is a decision about a deposit.

Agency staff, audit log and statements

Every action an agency takes through its access is recorded in an organisation audit log kept for 6 years. Monthly landlord statements list properties, work and compliance; they carry no rent, fees or bank details.
